This section provides guidance on managing your institutional account with IEEE Xplore.

Google Scholar CASA Linking

CASA (Campus Activated Subscriber Access) is an authentication enhancement that improves authentication for off-campus users of Google Scholar. CASA builds on Google Scholar's Subscriber Links program which provides direct links in the search interface to subscribed collections for on-campus users.

Remote Access

Users in participating institutions can use this feature to access IEEE Xplore content on devices when away from the office. Remote Access is enabled for 90 days after establishing access.

Note: Remote Access is now automatically enabled for academic institutions. If you DO NOT want to participate, submit the Remote Access Opt-Out Form. If you do want to use remote access, please read on to learn how individual users can establish and use remote access.

Enabling Remote Access

Non-academic institutions must opt in to use Remote Access. Contact IEEE Online Support (onlinesupport@ieee.org) to have remote access set-up for your institution.

Establishing Remote Access

Once Remote Access is enabled for your institution, users authenticated in an institution's IP range can register for Remote Access by signing in with their IEEE personal account. The registered device will have Remote Access for 90 days.

Using Remote Access

Follow these guidelines to use Remote Access:

  • Use the same device used to establish access
  • Use the same browser used to establish access
  • Sign in with your personal account

Users can set up Remote Access on any number of mobile devices.

Re-establishing Access

Remote Access needs to be re-established periodically. To do so, users must sign in while in the Institution's IP range. Then, go to My Settings > Remote Access with the device and browser used to initiate access. Once there, click the Re-establish Access button.

Turning Off Remote Access

In the event that you want to turn off Remote Access completely, you must remove a cookie from your browser. To do so, go to your browser privacy settings to remove the individual cookie. Remote Access is associated with a specific browser. If you would like to sign into IEEE Xplore with your IEEE Xplore account without institutional IP authentication, you can either remove the cookie or use an alternative browser.

OpenAthens & Shibboleth

Authentication via Shibboleth or Athens provides IEEE Xplore access to off-site (remote) licensed users while providing staff, students, and researchers with single sign-on access to IEEE Xplore, as well as other collections your institution may subscribe to.

To date, IEEE is a member of more than 15 federations. IEEE will continue to join access federations to offer Shibboleth authentication to those institutions that require it.

EZproxy

An update has been made to the IEEE Xplore EZproxy stanza to support creation of personal accounts when users are authenticated via EZproxy. This will enable end users to take advantage of personalization features such as saved searches, search history, etc. OCLC has made the necessary update to the stanza, so there is no action required for customers using the hosted version of EZproxy. Any customers with the stand-alone version of EZproxy will need to add the following line of code to their stanza:

IEEE Xplore Support for IPv6

If devices in your organization have IPv6 addresses, your organization will need to submit a list of IPv6 addresses for continued access.

How do I submit IPv6 addresses?

Consult your IT professional to compile a list of all IPv6 addresses present on devices used by your organization. There are two ways your IEEE Xplore account administrator can submit IPv6 addresses to IEEE:

What is IPv6?

Internet Protocol version 6 (IPv6) is the most recent version of the communications protocol that provides an identification and location system for computers on networks and routes traffic across the internet.

Every device on the internet is assigned an IP address. Most devices currently use an IPv4 address, but the pool of available IPv4 addresses has been exhausted. As a result, all new IP addresses are being created in IPv6 format. To meet this demand, IEEE Xplore will enable IPv6 devices to connect to your IEEE Xplore subscription.

Will my IEEE Xplore account be affected by IPv6?

Any device accessing IEEE Xplore from an IPv6-formatted IP address that is not registered on your IEEE account will not be able to download content through your IEEE Xplore subscription. Therefore, it is very important that your organization's IEEE Xplore account administrator immediately provide IEEE with a current list of any IPv6-formatted IP address blocks that should have access to your IEEE Xplore subscription.

What is the difference between IPv4 and IPv6 formats?

-IPv4 is a 32-bit numeric address written in decimal as four numbers separated by periods

  • Example of IPv4 IP address: 100.64.1.150

-IPv6 is a 128-bit hexadecimal address separated by colons. IPv6 can be shown in a compressed or expanded version:

2001:0db8:0000:0000:0000:ff00:0042:8329

(IPv6 expanded version)

2001:db8::ff00:42:8329/64

(IPv6 compressed version with bit prefix)

What format should I submit my IPv6 IPs in?

IEEE only accepts IPv6 addresses that are 32-bits or greater. Your organization's IEEE Xplore administrator should consult with your IT department or technical help desk to gather a list of IPv6 addresses.

Will IEEE still support IPv4?

Yes, IEEE will continue to support IPv4 IP addresses alongside IPv6.

What if my organization has both IPv4 and IPv6, and we currently have access? Do we still need to provide IPv6 addresses?

Yes. By default, IEEE Xplore will choose the IPv6 first (pending verification from IT).

What if my organization does not have IPv6 addresses?

Nothing needs to be done if your organization does not have IPv6 addresses.

Changing IP Addresses

Subscribing institutions can change the IP addresses used for authenticating access to their IEEE Xplore accounts. To add or remove IP addresses, an authorized representative—typically the person who signed the license agreement—must fill out the IP Address Amendment Form.

Request an Institutional Administration Account

You can now display local contact information on IEEE Xplore to help answer questions and provide information to your user community. Using your Institutional Administration account, you can set which contact fields you would like displayed to users. Then, a "Contact Administrator" link will appear along with your Institutional Branding in the header of every page on IEEE Xplore.

With an Institutional Administration Account, subscription administrators can modify and customize certain information associated with their IEEE Xplore institutional subscription accounts.

Customize Your Institutional Name

Email to onlinesupport@ieee.org to customize how your institution's name (up to 50 characters long) is displayed at the top of every page on IEEE Xplore and on the PDF Banner.

IEEE Xplore provides an area on all pages for information about the subscribing institution. You can customize your institution's display name (up to 50 characters) and logo. Please submit your logo to onlinesupport@ieee.org. Specifications for logos are as follows:

  • Format: GIF
  • File Size: < 7KB
  • Dimensions: 200 x 60 pixels

IEEE also offers free digital support materials for promoting IEEE Xplore within your institution, including customizable flyers and posters.

Managing Chargeback

Manually add field values

  • Add values by typing in the Value Text and Display Text fields, and then click Add.

    Note: Value Text is the value that appears in your chargeback report whereas the Display Text is the text that will display in the drop-down menu to your user community.
  • Add as many field values as needed. They will display in the same order as they were added, top down.
  • To remove a field value, click on the value and then click Remove Selected. Select multiple values by holding down the CTRL key and selecting multiple values.

    Note: Removing all the values will change FIELD 3 back to a freeform field.
  • When finished, click Save Changes. Preview the drop-down menu using your Institutional Administration Account.

Upload a list of field values

  • Upload a list of field values by creating a CSV or plain text (TXT) file.

    Note: Create a list by adding Value Text and Display Text to each line of the file, separated by a comma. Place each field value on a new line. The Value Text is the value that will appear in your chargeback report whereas the Display Text is the text that will display in the drop-down menu. To have the Value Text and Display Text read the same, only place one value on each line of your list.
  • Add as many field values needed. They will display in the same order as they are listed.
  • After the file is complete, click Choose File in your Institutional Administration Account.
  • Once the file is loaded, a field value may be removed by selecting the value and then clicking Remove Selected. Select multiple values by holding down the CTRL key and selecting multiple values.

    Note: Removing all the values will change FIELD 3 back to a freeform field. To add additional values at this time, see instructions above.
  • When finished, click Save Changes. Preview the drop-down menu at that time using the Institutional Administration Account.
  • To mass change a list of values, upload a new CSV or TXT file with the new values. These new values will overwrite the old values. To mass remove all values, upload a blank CSV or TXT file to clear all the values.
